1. General
1.1 Entry is open to all who live permanently in New Zealand or have New Zealand citizenship.
1.2 Artists can enter through this official awards website HERE.

1.3 A separate entry form must be completed for each entry. Each artist may submit up to three entries.
1.4 Entries Open: 9am Monday 1st July 2024. Entries Close: 5pm Sunday 27th October 2024. The Earlybird entry fee is $40 per entry. After October 13th 2024, the entry fee is $50 per entry. The fee/s are non-refundable.
1.5 Molly Morpeth Canaday Award, Arts Whakatāne and Whakatāne District Council (The Organisers) reserve the right to disqualify works that do not comply with the award criteria.
1.6 All correspondence between the entrant and The Organisers is private and confidential and will not be shared with third parties unless authorised.
2. Artwork
2.1 Work can be in any 2D or 3D visual arts discipline for wall or flat surface presentation.
2.2 All works are to be original, not infringe upon NZ copyright laws and are the work of the artist entering. All entrants are to be the owners of the work(s).
2.3 All works must have been completed after 1st December 2023.
a) Works must be completed on submitting entry.
b) Works will be marked non-compliant if visible additions to the work have been made after being selected as a finalist.
2.4 Works entered must not have been exhibited in another art award or competition prior to this exhibition.
2.5 Works must be robust. If artworks need to be maintained for the duration of the exhibition, this is the responsibility of the artist, and any required maintenance must be negotiated with the Te Kōputu a te whanga a Toi Exhibitions team.
a) All artwork must have secure surfaces; i.e. fragile pastel and charcoal surfaces must be ‘fixed’. Paint and varnish must be dry.
b) Materials with a propensity to decay need to be treated appropriately please refer to 6.2.
2.6 The artwork must be within the dimensions and weight requirements.
a) Size restrictions - The longest side of the work, including framing must not exceed 2000mm (2 metres).
b) Weight restrictions - 3D floor works must not exceed 30kg or a safe two-person lift. 2D or wall hung must not exceed 15kg. Artworks to be suspended from the ceiling must not exceed a load bearing limit of 1.5kg / m².
2.7 Artwork installation instructions will be followed by the Te Kōputu a te whanga a Toi Exhibitions team when provided on submission.
a) Where appropriate, all wall hanging works must be fitted with D-Rings on either side of the artwork for secure installation. Alternative hanging equipment (pins, magnets etc.) must be supplied with the work and appropriately rated, or discussed with the Te Kōputu a te whanga a Toi Exhibitions team.
b) Inappropriate hanging systems will be replaced where practicable by gallery staff. All installation, maintenance and operational costs not covered by the normal exhibition services of Te Kōputu a te whanga a Toi are the responsibility of the artist.

c) Artwork must comply with Health and Safety standards of Te Kōputu a te Whanga a Toi - Whakatāne Library and Exhibition Centre. (See 6.2)
2.8 All works accepted for the finalist’s exhibition must stay on display for the entire exhibition period.
2.9 All works are to be for sale (see 8.)
3. Entry Information
3.1 All entrants are required to submit 1 - 3 images of each artwork entered. They may also submit a YouTube/ Vimeo video link of the work.
a) High resolution images are to be uploaded in JPEG file format 1-3 MB, and no smaller than 800x600px - (1280x960px is recommended).
b) Images must be a true and accurate representation of the artwork entered.
c) One showing scale, one of preferred installation and one to be of "catalogue quality".
d) Images, files and video links must not identify the artist.
e) Images will be used in the "blind" pre-selection judging process.
f) Images will be used in the catalogues and to promote the exhibition.
3.2 Artists are encouraged to submit an artist statement about each work. (Refer to resource HERE)
a) Artist statements to be a maximum of 100 words.
b) The Organisers reserve the right to edit the text for grammatical errors and exhibition standards.
c) Statements will be used in pre-selection and final judging of works.
d) Statements relating to finalist works will be included in the exhibition on the corresponding artwork label.
3.3 Entry information is final and cannot be added to by the entrant after submission.
3.4 On receipt of selected work The Organisers will inspect the work
a) For any damage or flaws.
b) To ensure that the entry criteria are met prior to installation.
c) That the artwork is appropriate for display in the Te Kōputu a te whanga a Toi gallery spaces.
d) That a courier ticket has been included with the work where necessary.
4. Packing, delivery and return of artwork
4.1 Selected entrants are responsible for delivery to, and the collection of unsold works from Te Kōputu a te whanga a Toi – Whakatāne Library and Exhibition Centre following the closure of the exhibition.
4.2 Freight is the responsibility of the artist.
a) Works that require couriering MUST have a return ticket attached.
b) Gallery staff will repack artworks in original packaging where possible and arrange dispatch of artworks.
c) If the work is sold, the courier ticket will be returned to the artist.
d) All packages MUST be clearly addressed with the sender’s details on the outside.
4.3 Delivery Times
a) Courier Deliveries: Works are to arrive between 6th – 11th January 2025 (9am – 4pm) to Te Kōputu a te whanga a Toi - Whakatāne Library and Exhibition Centre.
b) Personal Deliveries: To Te Kōputu a te whanga a Toi - Whakatāne Library and Exhibition Centre between 6th - 11th January 2025 otherwise by appointment [email protected]
4.4 Return Times
a) Courier Return of works: Dispatch coordinated by Te Kōputu a te whanga a Toi Exhibitions Team.
b) Personal Collection of works: From Te Kōputu a te whanga a Toi - Whakatāne Library and Exhibition Centre. 2nd April -12th April (9am - 5pm) 2025. Otherwise by appointment.
Physical delivery address: Te Kōputu a te whanga a Toi - Whakatāne Library and Exhibition Centre, 49 Kakahoroa Drive, (trade entrance via New World Service Lane), Whakatāne 3120.
5. Insurance and security
5.1 All artworks are loaned on consignment to Whakatāne District Council, and are covered by Whakatāne District Council’s Fine Arts Insurance Policy. This insurance policy covers unforeseen damage or loss for artworks on consignment while on the premises.
5.2 Surveillance cameras are in operation throughout the exhibition period.
6. Health and safety considerations
6.1 Any exhibitor with an entry that may have specific legal, environmental, safety or security applications to be met shall undertake to carry out these procedures, and to meet the standards and policies of Whakatāne District Council prior to installation. Note: selected works with electrical components must be tested and tagged.
6.2 Untreated natural materials that might carry ‘wildlife’, or decay in the duration of the exhibition may not be accepted due to the proximity of the Whakatāne Museum Heritage display. The gallery staff will determine on a case-by-case basis if a work made with organic materials can be displayed. It is the artist’s responsibility to treat their artwork for pests.
7. Judging process
7.1 All submissions will go through "blind" pre-selection judging based on the digital images and statements provided.
a) Three pre-selection judges will judge the works on merit.
b) Each judge will score entries independently.
c) Collated scores determine which works are selected for exhibition.
NOTE: Pre-selection judges are not given the names of entrants; submissions are identified by entry number.
7.2 All artists will be informed of the outcomes of pre-selection judging via the website on 9th December 2024. Selected finalists will receive an email after this with further instructions.
7.3 All selected works must be delivered to Te Kōputu a te whanga a Toi – Whakatāne Library and Exhibition Centre within time frames set out in 4.3
7.4 Final judging will be carried out by the Guest Judge following the installation of selected works. Final judging determines the award winners. The Guest Judge will have access to the physical artworks and artist statements. Artist names will remain anonymous for judging.
7.5 Award winners may be notified by phone the week before the award opening night, and will be encouraged to attend to receive their award.
8. Sale of artworks
8.1 All works are for sale, and loaned on consignment to Whakatāne District Council. Sale price includes 35% commission to be taken by The Organisers. (The 35% component includes GST).
8.2 Artists will be notified of sales by The Organisers.
8.3 Payments to artists will be processed after the exhibition closes, this is expected to be paid by the 20th of the following month AFTER the exhibition closes.
9. Media and publicity
9.1 The Organisers may use images provided by entrants (with credit/attribution) in MMCA related media outputs.
9.2 Additional images of works may be taken in the gallery space, and circulated to promote the exhibition in print and on digital sites/social media (with credit/attribution), and may appear on their website, EDM and social media.
9.3 Finalists and award winners may be contacted for media purposes to provide additional material such as statements or imagery.
10. The exhibition
10.1 The exhibition will be on display at the Te Kōputu a te whanga a Toi – Whakatāne Library and Exhibition Centre.
10.2 Exhibition Opening and Award ceremony - Saturday 1st February 2025. Judges talk 11am Sunday 2nd February. Exhibition Closes - Saturday 22nd March 2025.
